Roy Clarke opened the meeting by thanking everyone for attending, particularly those who had travelled a considerable distance to be there.  He said that although there hadn’t been a regional AGM or event since Cosford, the individual clubs in the region had more than made up for it with a wide variety of activities which had kept everyone busy.
Roy thanked MG Motor UK for the use of their excellent facilities for this meeting.
The main objects of the regional events, as opposed to area events were described, these being to promote the clubs within the region, and to encourage cooperation between the various clubs within the region.
Regional Events To Date
2000 Cars in the City, Coventry Motor Museum
2003 RAF Cosford
2004 Weston Park
2009 RAF Cosford
2010 Rallye Fest Jazz, Chateauneuf-du-Faou, Brittany
2011 Rallye Fest Jazz, Chateauneuf-du-Faou, Brittany
It was pointed out that these events, apart from the social value to the participating clubs, had raised a considerable amount of money for various charities.
Proposal for a regional event in 2012
Roy said that MG Motor UK, had contacted him offering the use of the meeting facilities and  expressing their interest in supporting any regional venture for 2012.
Roy asked the meeting:
· Should we stage a regional event for 2012
· If so, what would be the suggested venue and format
· What work would be involved, and who would do it
His suggestions, having already given the matter some thought, were:
· To take up the offer by MG Motor UK, and stage the event at Longbridge
· Make the event as low-cost as possible, bearing in mind the economic situation
· Collect donations on the day of the event by one means or another
· Help For Heroes was suggested as a worthy beneficiary for the event
There was some discussion, and it was generally agreed that the basic concept was good, and that we should proceed with the idea.  The location of the MG site being fairly central, was considered ideal.
Roy said that he had already secured use of the visitor centre, if required.
Various ideas were floated:
The possibility of some invited trade stands and/or auto jumble. Roy agreed to check with MG Motor, to see if it would be allowed on their premises.
The local army cadets could be contacted with a view to providing marshal’s for parking etc., particularly if Help for Heroes were the chosen charity.
The meeting was asked if they were in agreement with the general format, and by a show of hands unanimous agreement was indicated.
It was suggested that we could ask MG Motor for some assistance with general publicity, and possibly also for administrative help with taking entries etc.  It was pointed out that this idea could possibly be sold to the company on the basis that by administering entries they would gain a lengthy list of potential customers, all MG enthusiasts.
Another suggestion was that clubs could collect individual entries, and then send them in as a “block booking” for their club.
There was a lengthy discussion of possible dates for the event.  A list of the known already-planned events was compiled, running from April until September, and the various possibilities listed, so that there would be the minimum chance of a clash of dates. The date of Sunday the 20th. May 2012 was eventually chosen.
In order to get some commitment for attendance but with minimum administrative effort, it was decided that entrants would enter via the web, and pay a nominal £2.00 entry fee.  They would then, if pre-registered, collect rally plaques from a central point.
Roy would need to establish exactly how much space will be available for parking.
There was general agreement that Help for Heroes would be the chosen charity.
It was suggested that each club could contact local traders with a view to their participation (bearing in mind the need, stated above, for the agreement of MG Motor).
Bromsgrove MGOC committed to organising the marshalling of the event on the day.
Roy agreed to keep everyone informed regarding progress with organising and planning for the event.
Further meetings to be called as required.
Meeting closed.
